Progress made this reporting period:

  • The SSC Design Review Committee met to consider proposals for funding the shared service centers. The Committee identified a preferred model and is gathering additional input. During the next two weeks, the Implementation Team will continue to vet the proposed model with academic leaders across campus, gathering input to determine the feasibility, sustainability, and other important aspects of funding. The final recommendation will be made to the Changing for Excellence Executive Committee on August 22.
  • The Steering and Design Review Committees have recommended a governance model to ensure accountability for SSC services. Campus leaders in Schools, Research Centers, and Units are reviewing the proposed model which will be presented to the Changing for Excellence Executive Committee on August 22.
  • Brown bag lunch sessions have been hosted by KU staff to share information about shared service centers. Topics include:
    • Oregon State Visit
    • KU Student Services Shared Service Center
    • Higuchi Biosciences Center, a SSC Model
    • KU SSCs: Potential Financial Activities in the SSCs
    • KU SSCs: Recruitment Plans for the Liberal Arts and Sciences SSC
    • Life Skills for Navigating Change
    • Coping with Change in Turbulent Times
    These lunch sessions will continue over the next few weeks. Date and registration information for future sessions can be found on the SSC website at http://cfe.ku.edu/documents/ssc/brownbagsessions.pdf.
  • Invitations have been sent to over 75 KU staff to serve as members on the Process Improvement and Training Committees (PITCs). During the coming weeks, these committees will meet to discuss how business activities are currently completed on campus, test the fit of these activities in a SSC, and develop a streamlined process that can be adopted by the SSCs. The PITCs will address the following processes:
    • Travel and Expense
    • Candidate Support/Honorarium Processing
    • Tuition and Scholarship Support
    • Financial Analytics/Budget Support
    • Billing and Receivables
    • HR in the Departments
    • Research Admin: Award Modification and Closeout
    • Research Admin: Cost Transfer
    • Research Admin: Award Monitoring
    • Research Admin: Cost Share
    • Research Admin: Allowability and Invoice Processing on Grants
    Procure to Pay activities in the SSCs will be assessed through the Procure to Pay work stream.
  • The SSC Transition and Space Planning Committee met to begin exploring potential locations for the Arts and Sciences SSC.
  • The Implementation Team continues to hold open office hours on Tuesday afternoons: please check the SSC CFE Calendar for times and locations.
