Progress made this reporting period:

  • Over the next several weeks, we will be offering a series of brown bag lunch sessions related to the SSCs implementation. To keep the sessions informal and allow for questions, we will keep each group size to about 35-40 people, although each session will be offered multiple times. If sessions fill up, we will identify additional times to meet. Sessions, dates and times, and registrations are listed at:
  • The Transition Planning and Space Committee met to begin identifying space for the Liberal Arts and Sciences SSC.
  • The Steering Committee and Design Review Committee decided to move forward with the formation of Process Improvement and Training Committees for Finance and HR. The following committees will be formed over the next few weeks:
    • Travel and Expense/Candidate Support/Honorarium Processing
    • Tuition and Scholarship Support (including Research)
    • Financial Analytics/Budget Support
    • Billing and Receivables
    • Payroll
    • Human Resources – Departmental Activities
    A separate work stream is in place to review the Procure to Pay processes; this team will consider the role of the SSC in the Procure to Pay process redesign. A summary of the focus group input as well as more information about what activities will be considered in these committees is available at:
  • A team from Research Administration continues to meet to consider which processes should move into the SSCs. The following areas were identified to move forward into Process Improvement and Training Committees for the Academic SSCs:
    • Tuition and Scholarship (with Finance)
    • Award Modification and Close Out
    • Cost Transfer
    • Award Monitoring
    • Cost Share
    • Allowability and Invoice Processing
  • The SSC implementation team is continuing to consider how the SSCs will be staffed. A focus group of departmental staff met to provide input. A summary of their discussion is on the CFE SSC website:
  • The Design Review Committee and members of the Steering Committee continue to evaluate funding model options for the SSCs.
  • Position descriptions for two new SSC leadership roles—the KU SSC Project Manager and the LAS SSC Manager—are currently in development, with posting anticipated in the coming week.
